JOB - Part Time Administrator, First Church in Jamaica Plain Unitarian Universalist

Purpose:  Administrative support for ongoing operations of the Church, working closely with the  Minister, other Church staff, the Treasurer, the Standing Committee, the Building Use Liaison, including KidsArts, (an after school program that uses the church), and cleaning crew.

 

Reports to:  Minister, First Church

 

Annual performance review:  Performed by the Minister with support from  Personnel Committee and with input from others the Administrator works with on a regular basis.

 

Qualifications:  Ability to work both independently and also in close consultation with those noted above.  Experience with Microsoft Office, ability to maintain Website, and keep it up to date with monthly newsletter, desktop publishing and QuickBooks essential.  Excellent interpersonal skills needed as this position requires working with many different people within the congregation and being the contact person for the community at large.  Familiarity with Church operation helpful but not required.  Discretion, confidentiality and experience with deadlines necessary.  Ability to proofread and edit is essential.  Minimum of high school graduate or equivalent.

 

Hours of work:  This job is funded for 16 hours/week for twelve months/year.  Two weeks paid vacation included in package.  Two mornings per week, other days/hours will be determined in consultation with the Minister.

 

Responsibilities: 

1.      Prepare and print weekly Order of Service from template using information from Minister, Music Director, Religious Education Director, committee chairs, and other members of the community for Sunday morning worship.

2.      Create a weekly electronic newsletter with announcements of events as contributed from those listed above and email using Constant Contact.

3.      Send group e-mails as requested using Constant Contact.

4.      Perform receptionist duties including but not limited to answering the telephone, answering the door, picking up mail at the JP post office, sorting and opening church mail, monitoring and responding to Church e-mails, and making occasional phone calls on behalf of the Minister.

5.      Using QuickBooks, register income from the collection plate, including pledges, non-pledge donations, rental checks, income from special events, and special gifts.  Make weekly bank deposits.

6.      Pay bills using QuickBooks to print checks, and coordinate with the Treasurer for signature.

7.      Report monthly by phone for Payroll.

8.      Order and maintain office equipment and supplies, with in budget.

9.      Assemble and print Annual Meeting reports.

10.  Update and communicate with City Hall regarding Building Use permits.

11.  Update Website to include monthly newsletter, with calendar and be able to update Website as needed to reflect current staffing, and upcoming events.

12.  Assist church staff with miscellaneous tasks, including helping with publications,

(brochures, newspaper advertisements, etc.), and purchasing supplies, ie. flowers, etc.

Salary:  To be determined using UUA guidelines and training and experience.
